Mata Hari Media Services is a Dutch-Indonesian production support company based in Amsterdam. It was originally established to cater demands from Indonesian Film-productions wanting to do film production in the Netherlands. We realized that it can be difficult to do production in a foreign country with the language barrier, customs, regulations, and restrictions. Therefore we decided to offer our expertise and knowledge assisting Indonesian Production teams with research, location scouting, talent hiring, working permits, filming permits, and all aspects related to the media production (films, TV commercials, photo shoots, etcetera.) in the Netherlands. Since recently we offer the same services for production teams from other countries as well.

Our English/Dutch/Indonesian speaking team will certainly make you feel at home while helping your production go smoothly. Mata Hari Media Services offers full production support for media production in the Netherlands. No project is too small or too big for us.

Production Planning
We assist with production planning, budgeting and scheduling. We will read your script and advise on the most time and cost effective ways to shoot in The Netherlands (Amsterdam, Amersfoort, Keukenhof, Scheveningen, Amsterdam Arena (the Ajax soccer stadium) and all other Dutch cities and locations) and in other European countries.

Location Scouting 
Our experienced scouts can find any location to match your requirements. We show some inspirational sorted by Dutch, European and seasonal locations.

Permits
We can assist with Film permits; we know what is needed and how to get it.

Pre-Production & Research
Sometimes a (deep) research pre-production is necessary, we can help you with a historical or location research and procure/ provide historical data if needed, photographs for research, literature for research, invitation letters, support for visa or other legal documents, research information about permits and entrances, casting if needed and prepare the recce period with planning and locations. We can also help you set up your production base, or your office away from home, and provide you with everything necessary for a successful shoot.

Crewing
We know the best crews and will find the right people for your project. (from production managers, technical assistance, location managers, producers, production assistants, runners, traffic managers, cinematographers, gaffers, directors and more)

Cast and Casting
Mata Hari Media casts actors, actresses, models and children for (international) feature films, TV commercials, corporate- and promotional films, TV series, video clips, telemovies and photo sessions. Besides the Netherlands, this department also works with clients in other countries, such as Indonesia. We offer talented people to apply as an actor, actress, model or a presenter through our website. Also, if you are a crew member (e.g. director, D.O.P., gaffer, steady-cam operator, make-up artist, wardrobe specialist, etcetera) please also register!

Equipment Rentals
We have excellent relationships with all the main equipment rentals and can help to fulfill your rental needs at advantageous conditions.

Sound Stages / Studio Rentals
We liaise with sound stage and studio rentals, and advise you on your best choices. (Incl. very small green screen studio’s till very large ones).

Production Office Rentals
We source and rent production office space, from single offices to space for large production crews.

Catering
We work with the best caterers and will make sure your crew won’t have to work on an empty stomach.

Travel and Transport
We help with travel and transport arrangements during recce and/or during the actual film/TV commercial/photoshoot and can advise you on the most cost effective deals.

Accommodation
We assist with short or long term accommodation, from hotels, to apartment rentals and beyond.

SFX / Consultants
We will find SFX and other specialized consultants for your shoot, as may be needed.

Production
We provide production and support services during your shoot, and offer full-service line-producing and co-production services.

Post-Production
We set up and support post-production in the Netherlands and Belgium, from assembly editing during the shoot to full-scale picture and sound post.

Mobile Editing
We can provide mobile editing solutions for your shoot, for editing on location, in your office, or in your hotel room or home- whatever your preference.

Tax Credits / Financial Incentives
The Netherlands, as well as many other locations throughout Europe offer attractive tax credits and other financial incentives. We can advise on the best way for your project to benefit, and help calculate a detailed budget. We can advise on how to cash-flow these incentives, to ensure they can become part of your up-front financing wherever possible.

Accounting and Legal
For bigger projects, it can be beneficial to rely on the expertise of local accounting and legal experts. We can make recommendations and put you in touch with trusted sources.

Insurance
We will help to arrange the right coverage, to ensure your project conforms with all insurance requirements.

How we work

Inventory
After you contact us, our first step is to learn about your questions, wishes and requirements (what is your
question, what do you want, where do you want to go, how you like to travel, your timeframe, who´s coming with
you, budget , equipment etc.). Based on this information, as well as our expertise, we create a free complimentary
preliminary itinerary proposal.

Itinerary Development
You review that initial itinerary and provide thoughts and additional requests. We revise as necessary to better
match your needs and expectations. We start to make a concrete planning and script. We provide many option
for your film production or travel such as locations, historical or location research permits, when to shoot, costs,
casting and talents, crews, equipment, art department, studios, post facilities, visas and work permits, film friendly
hotels, transportation, communications and safety advice. We will be in touch by email and skype conference call
until you have a program or itinerary you are delighted with. This is a joint process based on an on-going dialogue
between you and our expertise.

Finalization, Confirmations and Deposit
The itinerary document will include a day-by-day account of activities (with background information and history.
When you are happy with the final itinerary and provide a final approval, we will send you a draft contract and
budget overview with all your wishes and our service. After signing the contract, we will begin the process of
confirming your equipment, locations, talents, crew, hotels, trains, and all other services. We will do this very
carefully and will inform you about all discounts, prices and agreements. Once we started this process of
confirmations we will report to you and request a 25% deposit. Upon receipt of your deposit, we reserve
equipment, transportation and accommodation. Each aspect of your production or travel wishes are confirmed in
advance so you can be confident that every detail is taken care of and that there will not be any last minute
changes.

Pre-productions
Sometimes a (deep) research pre-production is necessary, we can help you with a historical or location research
and procure/ provide historical data if needed, photographs for research, literature for research, invitation letters,
support for visa or other legal documents, research information about permits and entrances, casting if needed
and prepare the recce period with planning and locations. We will ask you a location breakdown with indoor/
outdoor information and any persons appearing in the location to prepare the recce period for your team.
Additionally, you will receive handy advice and information before you arrive in the Netherlands, such as details
about changing money, insurance suggestions, health precautions, weather updates etc.

Recce in the Netherlands
When you are coming to the Netherlands you will be met at the airport by Mata Hari Media. We will take you
through your itinerary or recce location planning and will manage all facilities and logistics. During the location
scout we will advise you based on your breakdown and our detailed communication about the recce and research.
In the location factsheet we procure/ provide depiction and location release based on forms (location breakdown)
supplied by you. In this location factsheet we will provide location information about: name, scene number, time
and planning, facilities (toilet, wardrobe, parking space, electricity) specifications about the different areas (if
already set), special limitations or problems.

Shooting days
When you are coming to the Netherlands you will be met at the airport by Mata Hari Media. We will take you
through your itinerary and we will procure/ provide all kind of facilities during production days, based on what we
discusses and what you need such as: equipment, crew, talents, catering, talents, transportations,
accommodation, drivers, special requests.

Post production
We can mediate for a full-service post-production, editing and visual effects facility working on feature films,
drama series and documentaries. We provide a high end post-production, visual effects (VFX) services and
on-set supervision, applying the very highest standards of creative and technical skills to every aspect of
the post-production process.

Media
We will use the best efforts to recruit media expressions in The Netherlands such as newspapers, magazines,
online media. We will recruit online registrations about the film production such as IMdB, Film Database and social
media. As an extra promotional service we will use the best effort to have the film shown at festivals or movie
theatres in The Netherlands.

Administration
We will recruit TAX back all has spent in The Netherlands. We will prepare your tax return based on the information
provided by you. The more information you provide (even if you are not sure whether it is relevant) the sooner
we can complete your tax return and the lower the invoice will be.

Film permits

For small video- and filmshootings in public spaces is in most cases no permit needed in the Netherlands. For example in case of:

  • Small hand-held camera/ small crew without boom and other equipment.
  • Small camera on tripod (not longer then 30 minuts and a small crew without boom and other equipment.
  • Photography of buildings

and make sure:

  • You’re always aware of local rules and (traffic) regulations
  • You don’t bother traffic and passangers
  • Use own portable power generators
  • Use no big equipment
  • You have a insurance in case something happens

It’s forbidden (without a permit) to:

  • Disturb public space (for example with music or transportation)
  • To have more than 5 crew members (crew and cast)
  • To have an actor dressed in police uniform
  • To use a rental police car
  • To use big equipment

Shooting in Amsterdam (the Netherlands)

Its liberal, tolerant and free-spirited reputation attracts talent from all over the world, making it one of the world’s most multicultural cities and a great place for bringing your ideas to life. Still, for most projects it makes sense to team up with a local production company or service provider, because the city is, and remains, a complex place to move around with a full crew and camera’s. Our services are designed to help you navigate the maze of rules and regulations, take advantage of the opportunities and ensure that you get the most for your production money.

Do I need a permit to shoot in the Netherlands?
For small video- and film shootings in public spaces is, in most cases, no permit needed in the Netherlands. For example, when using small hand-held camera’s without boom and other equipment. For bigger shoots one needs to apply for a shooting permit. We can provide more information or assistance with this.

Do shooting permits cost anything?
The cost of a city shooting permit varies per application an per city and the size of your production. It is up to the applicant to comply with all the rules and regulations in their permit application. You need to scout each location and find out what the specific conditions are, before you can apply for a permit. Like anywhere, local conditions for shootings are subject to change for many possible reasons (security precautions, neighborhood concerns, events etc.).  We can perform research regarding the above matter when you are planning to apply for a permit.

How long does it take to get a permit?
This  varies per application and per city. It usually takes less than a couple of days or weeks to obtain a simple permit. Complex cases can take longer.

Shooting on public property
It is possible to shoot in many places (for example parks and other public areas) throughout the city and often shooting is free of charge once permit requirements are fulfilled. Shooting on buses and subways, including subway property (platforms, exits and entrances, etc.) is conditional on obtaining NS or local transport company permission. It can be a costly and usually it takes 1 week or more to obtain such permit.

Shooting on private property
Shooting on private properties is usually down to negotiation of a fee, which varies from building to building. Make sure your insurance covers all eventualities, also in case of private property shooting.

Traffic assistance and parking
Local governments can provide traffic assistance, for which you need to apply some days or weeks before the shooting takes place.

For the next 3 weeks Mata Hari Media is looking for a service and enthusiastic production assistant for an Indonesian film production in and around Amsterdam.

Activities:

You support in the production area, such as planning facilities, making scenarios, the organization of catering, accommodation, transport and locations. Wrapping financial and administrative work and solving problems within given guidelines.

What are we looking for in you? 
We are looking for a production assistant who independently picks up tasks and can set up a service. You have fun in executive work and in organizing. You also have a mentality that lasts longer than from 9 a.m. to 5 p.m. You work flexibly and do not think it’s a problem to work on weekends during the coming weeks.

From Monday 11 to Monday 18 December, the Indonesian team in the Netherlands will be able to view locations and establish camera positions (recce). It is important that you can be present these days. That means that these are sometimes long full-time days. We naturally want to let the team feel at home, assist them and provide the necessary facilities.
